Department: Operations
Purpose of the Position:
- To provide a complete administrative service to the Annuity division.
Key Performance Areas:
- Deal with standard queries and serve as a first point of contact for the Annuity unit;
- Coordinate incoming and outgoing communication flow;
- Liaise with the manager to check schedules and to avoid double-booking
- Provide a correspondence service;
- Provide typing services and compile divisional reports and forward to Manager Annuities for approval
- Record keeping and retrieval services;
- Provide standard query resolution services;
- General administrative support;
- Arrange all annuities unit functions, meetings and events;
- Planning and organizing the divisional calendar and diary; and
- Ensure the distribution of physical claims equally that may be received from Records division to annuity unit and put notes on the system.
- Assist with the coordination of BAC submission
- Ensure that all death claims beneficiaries account are confirmed after BAC meeting
- Coordinate the submission of MoHC letters to the Master monthly before the 20th of each month

Job-related qualifications and experience:
- 3 years tertiary Diploma in Secretarial studies, Information Administration/Diploma in Office Management & Technology/ Diploma in Business Information & Administration from a recognised Institution. NQF Level 6
- 2 years’ work experience in an office administration environment.
Knowledge of:
- pension fund act and rules, budgeting, diary management, events coordination, filing systems, office administration, organisational culture and structure, records management, stock control and stakeholder and relevant policies, regulations and systems i.e procurement.
Skills:
- Computer literacy, customer service, verbal and written communication, feedback, interpersonal, multi-tasking, networking, organising, coordination, planning, prioritising, time management and telephone techniques.
