Administrative Assistant


Department:         Operations

Station:               Windhoek

Reports to: Manager Client Services

Purpose of the Position: To provide a complete administrative service to the client services division.

Key Performance Areas:

  • Deal with standard queries and serve as a first point of contact for the division;
  • Coordinate incoming and outgoing communication flow;
  • Administer the office in an efficient and service oriented manner;
  • Provide a correspondence service;
  • Provide typing services and compile relevant reports including budget;
  • Record keeping and retrieval services;
  • Provide standard query resolution services;
  • General administrative support;
  • Arrange functions and events;
  • Planning and organizing the divisional calendar and diary; and
  • Responsible for innovation and personal development.

Job-related qualifications and experience:

  • 3 years Secretarial diploma/Diploma in Information Administration/Diploma in Office Management & Technology/ Diploma in Business Information & Administration from a recognized Institution.
  • Minimum of 2 years work experience in an office administration environment and 1 year experience in a client service environment.
  • Knowledge of: Relevant administrative procedures and processes, pension fund act and rules, services provided and benefits payable to members, service level agreements, relevant policies, legislation, regulations and systems, organizational culture and structure, stakeholders, records management, office administration, diary management, events coordination, stock control, relationship management.
  • Skills:

Computer literacy; analytical; conflict handling, organizing & coordination, planning, prioritizing; interpersonal skills; Negotiation; Problem solving; Client services, exceptional verbal and written communication and Networking skills.
