Executive Assistant


Department:                          Internal Audit

Station:                                   Windhoek

Reports to: Chief Audit Executive

Purpose of the Job:

To provide a highly professional, efficient, effective, and proactive support and service to the Chief Audit Executive and the Internal Audit Department in all aspects of the departmental roles and responsibilities

Key Performance Areas:

  • Manage standard correspondence.
  • Provide typing services i.e., correspondence, reports, and documents.
  • Maintain diary on behalf of the GM.
  • Administer the office in terms of presentation, refreshments, tea/coffee arrangements, and retrieval of information.
  • Set up and organize the records for the department.
  • Make travel, events, and functions arrangements.
  • Deal with visitors and screen them against diary arrangements.
  • Compile, execute and monitor the budget of the department along with the managers.
  • Provide standard query resolution and customer liaison services.
  • Liaise with all units regarding inputs to the quarterly report.
  • Improve secretarial efficiencies and service levels

Job-related qualifications and experience:

  • 3 years Secretarial diploma/Diploma in Information Administration/Diploma in Office Management & Technology/ Diploma in Business Information & Administration
  • 5 years’ experience with 3 years at a senior level

The incumbent should have the following knowledge, skills, and Attributes:

Knowledge of:

Administration processes, basic financial management, diary management, document design, event management, minutes taking.


Analytical, communication, coordinating, excellent command of the official languages, interpersonal, query resolution, record keeping, typing and time management.


Approachable, detail consciousness, calm disposition, confidentiality, customer services oriented, emotional intelligence flexibility, handling pressure, helpful, presentable, professional, team player and reliable.
