
Position: Executive Assistant: Finance
Reports to: Chief Financial Officer
Department: Finance and Administration
Purpose of the Job:
- To provide office administration services to the Chief Financial Officer (CFO).
Key Performance Areas:
- Serves as the central point of departmental communications and provides administrative support and coordination of activities between the Chief Financial Officer, Chief Executive Officer, Trustees other departments, and stakeholders
- Receive and manage all standard correspondence, incoming and outgoing
- Provide typing services in respect of correspondence, reports and documents as required.
- Maintain diaries on behalf of the CFO
- Coordinate with other executive assistants
- Set up and organize the records for the department
- Ensure all travel and accommodation arrangements are done for the finance and administration staff and other managers
- Deal with all queries for the finance and administration department both internally and externally.
- Source quotation for required services/goods and prepare requisitions
- Receive invoices from the different departments or directly from procurement for payments processing.
- Ensure the collection of data for budget input and compile the departmental budget.
- Ensure that the department contracts are uploaded on the system
- Keep up to date with organisational developments in the industry as well as all other relevant developments on a national and international level and propose innovations accordingly.
Job-related qualifications and experience:
- Bachelor’s degree in information management and technology or business administration
- 3 years’ experience in an office administration and finance environment
- Experience as an executive assistant in an accounting department will be an added advantage

Administrative procedures and processes, basic accounting and financial management, diary management, document design, events management and marketing, systems, procedures, policies and functions, office equipment uses, organizational culture and structure, telephone. Switchboard systems, project management, minute taking, secretarial discipline, stakeholders and board, desktop publishing, corporate communication.
